Sending a payment receipt
How to send a patient a payment receipt
This guide shows you how to get a receipt to a patient who wants proof of payment. SynchPay creates a simple receipt for every payment. If the patient needs an itemized receipt that lists services, you can attach one from another FOX system.
What's on a SynchPay receipt
Included | Not included |
|---|---|
Payment date | Services performed |
Payment amount | Provider or visit details |
Convenience fee, if any (for example, $3 on a credit card taken by phone) | Insurance information |
Total charged | |
Authorization number (card payments) |
SynchPay is a payment platform and doesn't track which services a payment covers. For a receipt with service detail, use Option 2.
Option 1: Send the SynchPay receipt
Open the patient's profile from Customers, or find the payment in Payments.
Open the payment's action menu and select the receipt option.
Confirm the patient's email address. It fills in from the patient's profile; change it if the patient wants the receipt sent somewhere else.
Select Send.
The patient receives the receipt by email. You don't need to send a separate email from your own inbox.
Option 2: Attach a receipt from another system
Use this when the patient needs an itemized receipt, or when FOX's own receipt format is required.
Create or download the receipt in the FOX system where you normally generate it.
In SynchPay, open the payment.
Drag and drop the file onto the payment to attach it.
The receipt is stored with the payment so anyone on the team can find it later.
Refund receipts
You don't need to do anything extra for refunds. When you submit a refund, SynchPay automatically emails the patient and generates a refund receipt. Save a copy of the refund receipt to the patient's account in FOX's system. See How to refund a payment.
Common issues
The patient didn't get the receipt. Ask them to check their spam or junk folder, confirm the email address on their profile, and send it again.
The patient needs the charge to match their card statement. Give them the authorization number from the receipt or the payment record.
The patient wants a receipt for a payment made before launch. Payments made in InstaMed have to be looked up and sent from InstaMed.
